Job Description

Role – Executive Assistant

Duration: Three months initially

Location: Derby; Onsite

Hours: Full time, Mon-Fri

Pay Rate: £18.17 /hr; Weekly pay viaUmbrella incl. holiday

A reputable public sector local to the Midlands are looking for someone to support the Executive Officer. The successful candidate will act as the first point of contact for dealing with any internal and external enquiries, whilst prioritising their workload, and identifying/resolving issues. The post holder will be required to plan and organise activities, including senior management meetings.

Duties:

  • Ensure the team have access to meeting papers as required which includes management of
  • online note systems to allow papers to be read on all digital devices
  • Follow-up actions from meetings as required in accordance with standard office procedures
  • Handle confidential complex and sensitive data, dealing with complaints, booking appointments, liaising with both internal and external departments and agencies
  • To answer and deal with telephone and face to face queries using own initiative to solve problems
  • When required, re-direct calls and queries that require an urgent response appropriately to other senior staff to ensure these are addressed in a timely manner
  • Take responsibility for tasks and projects as delegated by Executive and Director colleagues
  • Be an authorised signatory for payments, signs off time sheets and may monitor portfolio related budgets
  • Work in partnership with others in the department to solve a problem, listen to, encourage, and value others’ contributions and opinions

Requirements:

  • Competent minute-taking ability
  • Highly proficient in MS Office: Word, PowerPoint, Outlook, Excel, SharePoint
  • Great communication skills to appropriately deal with telephone enquiries, ensuring messages are passed on to the relevant team member as soon as possible, or direct the caller to the relevant team
  • Keen initiative to deal with enquiries and routine matters unsupervised
  • Effective prioritisation of work and responses
  • High levels of analytical and problem solving skills with evidence of autonomous working and appropriate escalation where required
  • Experience of developing and maintaining systems that ensure and demonstrate compliance with regulatory and best practice governance requirements
