You will allocate nursing associates to rosters, attend meetings and provide support to the clinical team and the colleges we work with to ensure our nursing associates have the best experience and encourage them to join Team NUH once qualified.

You will be part of a friendly forward thinking administration team who support education , research and leadership. Developing programmes and training in the Institute of Care Excellence at NUH.

You will need to have excellent organisation and communication skills. The ability to forge good relationships is a must. This is a fast paced environment with no two days the same being adaptable is essential.

The post holder will be based at the City Hospital Campus but will be expected, when required, to work across all NUH sites and external venues in order to deliver the service.

Detailed job description and main responsibilities

The post holder will provide comprehensive administrative support to the Institute Pillars of Professionalism to ensure a smooth delivery of educational and research programmes is achieved.

The post holder will be based at the City Hospital Campus but will be expected, when required, to work across all NUH sites and external venues in order to deliver the service.


KEY JOB RESPONSIBILITIES

Takes responsibility for the organisation of Institute related courses and events by working closely with the Institute co-ordinator and ensuring the systems are updated with session, staff, student and resources at all times.

Proactivley plan events to ensure events are planned well in advance to allow availability of team and faculty are possible.

Book, plan and facilitate key meetings that are linked within the pillar you are working in. Take notes/actions at all meetings and ensure agenda, notes and any other documentation are distributed to all that attend in a timely manner.

Where necessary, as part of an event, communicate with internal and external stakeholders providing up to date and accurate event information.

Act as Admin Lead for the Educational or Research Pillar you are allocated to support.

Provides cover and support to other pillars in absence of their Admin Lead to ensure continuity in service.

Review resources required for up and coming events, monitor stock and replenish with support of administrative assistant in advance of the event

Send out pre and post documentation to students in line with current Standing Operating Procedure (SOP) for event.

Use initiative and problem solving skills to resolve any issues that may arise on the day, relating to your pillar or the Institute.

Subject to requirement, ensure all databases/spreadsheets/publications are kept up to date and accurate inline with the current SOP for the Pillar you are admin lead for.

Ensure replies from the Institute Mailbox are responded to in a timley manner or cascaded to the relevant Faculty member to answer, providing a high quality communication service. Escalate any concerns or complaints to the Business and Office Manager.

Training and Qualifications

Essential criteria

  • 4 GCSE’s or equivalent including English
  • NVQ Level 3 in Business Administration. ECDL or equivalent experience.

Desirable criteria

  • Advanced Excel Training course / qualification

Experience

Essential criteria

  • Previous experience of office administration or similar relevant role.
  • Knowledge and experience of using software programmes, e.g. Microsoft office especially outlook, word, excel and PowerPoint.
  • Previous experience of taking minutes of meetings and transcribing notes accurately and efficiently.

Desirable criteria

  • Previous experience of working with NHS electronic systems e.g. Celcat, NUH Matrix

  • Evidence of ability to communicate at all levels clearly and concisely both oral and written.

  • Evidence of previously working under pressure or to a tight deadline
